Assistant to TV/Film producer – Job Reference 20190411 NO LONGER AVAILABLE

Candidate requirements: full drivers licence or willing to learn, not allergic to cats and dogs, extremely well organised, tidy, financially literate, unafraid of basic contracts and legal agreements, an eye for detail, discreet and trustworthy with initiative, happy to work autonomously and in a team. Monday – Friday 9am – 6pm. Salary is dependent on experience.

Summary of Responsibilities

General Office Administration
o Diary management
o Arrange meetings and conference calls
o Post and Correspondence
o Manage all contacts, records and the household Bible
o Filing

o Manage all bank accounts and ensure all receipts kept and filed accordingly
o Bi-monthly meetings with the accountant
o Petty cash management
o Managing and uploading all business expenses and ensuring repayments are made
o Managing all direct debits and invoice payments
o Oversee payroll for Staff
o Process Annual Tax return

o Research and book travel options and ensure best prices are secured
o Provide itineraries and ensure all travel requirements are met
o Ensure all passports, ESTAs, Global Entry are up to date

o Manage all personal shopping and returns
o Booking all beauty and medical appointments and ensure that regular routine medical appointments are maintained
o Booking restaurants and events tickets
o Manage all subscriptions and memberships

o Monitoring the house and ensuring any repairs, decorations and purchases are carried out promptly
o Creating and managing household inventories
o Ensuring the best deals for utilities
o Managing household and car insurance and claims
o Managing security of the property

o Co-ordinate with employees to ensure the household runs smoothly
o Manage staff holiday allowance
o Co-ordinate with external management for communal areas of property
o Assisting with any technology issues

Events and Occasions
o Organising gifts for family and friends birthdays and Christmas
o Assist with event planning, ranging from small dinner parties to large Christmas parties
o Co-ordinating with other members of staff for all events

Country house
o General administration including post, filing and invoices
o Manage all bank accounts, direct debits and invoice payments
o Keep all household inventories and records updated
o Assist with all events and any guests at the property
o Oversee rentals of the property, liaising with rental clients and agencies
o Co-ordinate and liaise with all staff including recruiting extra staff when needed
o Oversee staff pay and HR matters

Production office
o Liaise and coordinate with the Office
o Set up meetings and conference calls
o Ensure all expenses are kept up-to-date
o Assist with any documents or research required
o Cover Development Assistant when she’s on holiday
